Access Copilot Prioritize

~2 minutes

Open Outlook (new Outlook for Windows or Outlook on the web). In the top-right corner, locate the Copilot button. Click the small arrow next to it to expand the dropdown menu, then select Prioritize.

Prioritize requires a Microsoft 365 Copilot license. If you don't see the option, the feature may still be rolling out to your tenant — check back in a few days.
  • No Copilot button visible: Ensure you're using the new Outlook for Windows or Outlook on the web — classic Outlook has a different interface.
  • "Prioritize" not in dropdown: The feature is rolling out gradually. If unavailable, try again in 24-48 hours.
  • Using classic Outlook: Navigate to View > View Settings > Copilot > Prioritize instead.

Enable Prioritization

Copilot opens the Prioritize settings panel. Toggle on Let Copilot prioritize my email. Check Show AI-generated summaries in the message list to replace the first line of messages with a brief summary. Optionally, check Apply low priority label to mark less important emails with a down arrow.

Tip
Enable "Apply low priority label" — it's off by default but incredibly useful for spotting emails you can batch-process later. You can always change this in Settings > Copilot > Prioritize.

Write High Priority Instructions

~10 minutes

In the Customize section, select the Higher priority tab. Type natural language instructions that describe emails you never want to miss, then click Add. Use phrases like "It's about...", "Mentions...", or "Contains..." — Copilot responds better to phrases than single keywords.

You have a maximum of 15 total instructions shared between high and low priority. Be strategic — start with 4-6 high priority rules and leave room to refine.

Create Low Priority Instructions

~8 minutes

Select the Lower priority tab. Add instructions for emails that are informational, automated, or can wait. This helps Copilot push noise to the bottom so you can batch-process it later. Click Save when you're done adding instructions.

Tip
The "I'm CC'd but not in the To line" rule is a game-changer for managers who get included on many threads. It deprioritizes FYI emails without losing them.
Checkpoint
You should now have at least 2-3 high priority and 2-3 low priority instructions saved. Instructions take up to 15 minutes to apply to new incoming mail.

Understand Priority Indicators

~3 minutes

Return to your inbox and wait for new emails to arrive (Copilot only evaluates messages received after you enabled the feature). You'll notice visual indicators: an up arrow (↑) for high priority, and if enabled, a down arrow (↓) for low priority. The screenshot below shows low priority indicators on automated emails.

When you select a prioritized message, the reading pane shows an expanded explanation at the top — a brief reasoning of why Copilot marked it as important. Click See Full Summary to view more details.

Note
Copilot only evaluates emails delivered to your main Inbox. Messages routed to subfolders by rules, encrypted emails, and calendar/OOF notifications are not prioritized.

Filter and Sort by Priority

At the top of your message list, click the Filter icon (funnel shape). In the dropdown, select High Priority to show only critical emails. Other useful filters include Unread, Flagged, To me, and Mentions me.

Tip
Start your morning by filtering to High priority only. Process those first, then remove the filter to batch through the rest. This simple workflow can cut your email triage time in half.

You've now configured Copilot Prioritize on desktop! Try filtering to High priority and confirm you see only the messages that match your instructions.

Set Up Priority View on Mobile

~8 minutes

Open the Outlook app on your iOS or Android device. Tap your profile icon in the top-left, then tap the gear icon to open Settings. Select your Exchange/Microsoft 365 account, then tap Copilot > Prioritize. Follow the prompts to enable Priority View.

Once enabled, return to your inbox and look for the sparkle icon (✨) at the top of your message list. Tap it to toggle between two focused views: High Priority (most important emails) and Needs Replies (messages Copilot predicts require a response).

Note
Low priority indicators don't appear on mobile — only high priority up arrows are shown. Your desktop and mobile share the same prioritization instructions, so changes sync automatically.
Tip
The "Needs Replies" view is perfect for commutes or quick mobile catch-ups — it surfaces follow-ups and direct questions you haven't responded to yet.

Refine Your Instructions Over Time

~5 minutes

Over the next week, pay attention to Copilot's reasoning when you open prioritized messages. If something is marked high priority but shouldn't be (or vice versa), return to Settings > Copilot > Prioritize and adjust your instructions. This iterative tuning is how you get maximum value from the feature.

Advanced
New instructions take up to 15 minutes to apply. Disabling or removing instructions can take up to 24 hours to fully propagate. Plan accordingly if you're making significant changes.
Tip
When refining, be specific. Instead of "emails about projects," try "emails mentioning Project Phoenix or the Q2 launch." Specificity helps Copilot make better decisions.

Set a calendar reminder for one week from now to revisit your instructions. By then you'll have enough data to make meaningful refinements.
